A relevant buyer can become a wasted opportunity when the agent receives no context, ownership is unclear or follow-up lives in separate chats. Lead quality is partly about who responds. It is also about how well the business handles that response.

Contact details alone leave the agent doing detective work

A useful record includes contact details, the requested property or service, campaign source, submitted answers and time received. If the visitor completed a quiz, include the answers. If they requested a guide, identify that guide rather than label every enquiry a viewing request.

Distinguish information provided by the visitor from assumptions made by the team. Unknown budget should remain unknown until checked. A default value added to satisfy a field can make reporting look complete while giving the agent a false starting point.

Shared responsibility can mean no clear owner

Every incoming enquiry needs an owner or an explicit routing rule. A shared inbox can still work, but only if the team knows who is responsible for acting. Otherwise, several agents may contact the same person or everybody may assume someone else has.

Agree what happens when an owner is unavailable and how a record is reassigned. Record the last action and next step in the same place. A private message between colleagues should not become the only evidence that a lead was followed up.

Vague stages create vague performance reports

Contacted should mean a defined interaction, not simply that an agent pressed call. Qualified should refer to agreed criteria. Viewing booked should include an appointment, while viewing attended is a different event. Use terms the team can apply without interpretation.

Keep unsuccessful outcomes specific enough to be useful: unreachable, unsuitable budget, wrong requirement, duplicate or unavailable stock. Avoid turning every loss into bad lead. That phrase hides the difference between a marketing problem and a fulfilment problem.

Integration failures need an accountable owner

The website, CRM and email system can fail independently. Store the enquiry reliably, record delivery status and make retries visible to whoever maintains the system. Do not delete the original record merely because a downstream integration is unavailable.

Test new form variants when they are introduced. A shorter campaign form may omit company or budget, and the receiving system needs to handle those omissions without overwriting information already held about the contact.

A joined-up handover changes the agency conversation

Group outcomes by the campaign and offer, then inspect the reasons. If one angle attracts people asking for a different property type, update the message. If suitable buyers go uncontacted, improve handover and ownership before blaming the audience.

PropLaunch works across the campaign and enquiry journey so sales receives useful context. If your team keeps starting from zero with every lead, there may be a handover problem as well as a marketing problem.
